Supplier, Catalog & Inventory Automation
Move supplier data into your store without turning every import into a risky manual project.

First conversation: fit, access and the next useful evidence. No credentials required.
Supplier files are rarely ready for a storefront. SKUs differ, categories drift, prices use different rules, descriptions arrive in inconsistent formats, and an empty stock field may mean zero, unknown, or discontinued. A direct import can create as much work as it removes.
Sanestly designs the translation layer between supplier data and the catalog your team actually wants to operate. We define matching rules, transformations, approval points and exception queues before automating updates. The workflow shows what changed, what was rejected and why, so staff can resolve unusual records without editing thousands of ordinary ones.
What you may be seeing
Signals that the workflow needs attention
- Staff repeatedly clean and upload supplier spreadsheets
- Stock or price changes overwrite carefully managed product data
- Duplicate products appear because identifiers are inconsistent
- Nobody can explain which feed last changed a product
The useful outcome
What changes after the work
- A documented source-of-truth and matching policy for every imported field
- Automated validation before catalog or inventory changes are applied
- A review queue for ambiguous, missing or commercially risky records
- Traceable updates with summaries that operations staff can use
How we approach it
A narrow investigation before a broad implementation
We profile real supplier samples before choosing tooling. The mapping covers stable identifiers, variants, units, tax, currency, categories, images, availability and the rules for records that disappear from a feed. Business-owned copy and merchandising fields can be protected from supplier overwrites.
Automation is introduced in stages: report-only comparison, controlled import, then scheduled operation. This makes matching errors visible before they alter the live catalog. For multiple suppliers, we also define priority and conflict rules instead of assuming the newest file is always correct.
Profile the sources
Measure field quality, identifier coverage, update frequency and the exceptions hidden in real files or APIs.
Define catalog policy
Agree ownership, transformations, matching, deletion and approval rules for each data class.
Build a dry run
Generate a change report without writing to the live catalog, then review mismatches with the team.
Automate with controls
Schedule validated updates, surface exceptions and keep an audit trail for support.
Deliverables
What you receive
- Source and field-quality assessment
- Mapping and transformation specification
- Dry-run change report
- Import or synchronization workflow with exception handling
Common questions
Before we start
Can the automation work with emailed files?
Usually, but an API or stable file location is safer. If email is the only source, we validate the sender, attachment pattern and duplicate-processing rules.
Will it overwrite our product descriptions?
Only fields explicitly owned by the supplier workflow are updated. We can preserve merchant-managed copy, images, SEO fields and category decisions.
What happens when a supplier changes its format?
The workflow should fail visibly before unsafe writes, retain the rejected sample and report the broken validation rule. Ongoing monitoring can be scoped separately.
