An order status is not the same as a completed fulfilment. The store may say processing while the warehouse has packed the order, a carrier may have a label but no parcel, or a partial shipment may be mistaken for a completed order. Teams often discover these gaps by searching several dashboards after a customer asks for an update.

Sanestly defines the operational states that matter, maps them across systems, and builds reconciliation around exceptions. Instead of replacing every tool, we create a reliable comparison that shows missing, duplicated, delayed and contradictory records with enough context for a person to act.

What you may be seeing

Signals that the workflow needs attention

  • Tracking numbers are missing or attached to the wrong shipment
  • Orders appear complete before every item has been fulfilled
  • Warehouse and store dashboards disagree about work in progress
  • Staff manually search for delayed orders and copy status updates

The useful outcome

What changes after the work

  • A shared state model across order, fulfilment, shipment and delivery
  • Automated comparison that focuses staff on real exceptions
  • Rules for partial fulfilment, cancellation, replacement and duplicate events
  • Operational reporting that can be traced back to source records

How we approach it

A narrow investigation before a broad implementation

We first document what each status actually means in each system. The reconciliation key may be an order, line item, fulfilment, parcel or supplier purchase, and choosing the wrong level creates false alerts. We test the model against normal and messy historical examples.

The resulting workflow can run on a schedule or react to events. It does not silently force one system to match another. Unsafe mismatches go to a review queue, while deterministic cases can be corrected or annotated under explicit rules. Every action keeps the identifiers and evidence needed for support.

  1. Map operational states

Define what ordered, allocated, fulfilled, shipped, delivered, cancelled and returned mean in every system.

  2. Choose matching rules

Connect records at order, line, fulfilment or parcel level and test the rules against real exceptions.

  3. Build exception views

Surface missing, late, duplicated and contradictory records with a clear next action.

  4. Automate safe cases

Apply proven updates and notifications while preserving an audit history and manual override.

Common questions

Before we start

Does this replace our shipping platform?

Usually not. The service connects and checks the systems you already use, then fills the visibility and exception-handling gaps between them.

Can it handle split shipments?

Yes, if line-item and parcel identifiers are available. We model partial fulfilment explicitly instead of treating one tracking number as the whole order.

Will customers receive automatic updates?

Customer or staff notifications can be included, but only after the state and timing rules are reliable. Reconciliation comes before more messaging.

Start with the evidence

Show us the failure, the systems involved, and what a correct outcome looks like.

We will reply with the first useful diagnostic step and tell you if the work does not fit this service.
