Barcode scanning for WooCommerce orders: fulfilment without typing
Every fulfilment bench does the same dance: read the order number off the slip, type it into admin, find the order, change the status. A barcode turns that four-step loop into a single scan - and takes the mistyped-order failure mode with it.
The workflow a barcode enables
- Pick - scan the packing slip to confirm this is the order in your hands, not the one that looks similar.
- Pack - scan to mark the order packed; the status moves without touching the admin.
- Ship - scan at dispatch; tracking and status update together.
- Lookup - any scan, anywhere, opens the order instantly - no searching the list for #1042 vs #1024.
Why scan beats typing
Typing fails two ways: the wrong digits (you open someone else's order and mark it shipped) and the right digits slowly. A scanner cannot confuse 1042 with 1024 - the barcode IS the order. Packing errors drop not because people get more careful, but because the wrong-order mistake becomes impossible to make silently.
What you need
- A barcode per order - printed on the packing slip or invoice, tied to the order ID.
- A scan target - a phone camera works; a $30 USB scanner is faster at volume.
- Status transitions that mean something - define pick/pack/ship stages before scanning them; a barcode is only as useful as the workflow it advances.
Setting it up
- Define your fulfilment statuses first (the order's lifecycle on your bench).
- Put the barcode on the document that travels with the order - usually the packing slip.
- Scan at each stage boundary: the status moves, the timestamp is recorded, the trail is honest.
Order Barcodes & Scan Workflow implements this: a unique barcode per WooCommerce order, scan-to-lookup, and scan-to-advance transitions - phone camera or USB scanner, no WMS required.
